Q: If my supplier didn’t send us the hard or soft copy of the e-invoice, do I have to download it from the e-invoice portal? Do we need to register before accessing the portal to print the e-invoice? We start on 1 July 2025, but can we register now?
Answer:
1. MyInvois Portal availability: 📍 The MyInvois Portal is indeed ready and operational now.
2. Registration: 📍 All taxpayers, including those with a 1 July 2025 implementation date, are now encouraged to create their MyInvois Portal profile. 📍 You don’t need to wait until your mandatory implementation date to register and start using the portal. 3. Access to e-invoices: 📍 Once registered, you can see e-invoices issued to you or received by you through the portal. 📍 This allows you to familiarise yourself with the system well before your mandatory implementation date.
4. Rejection of e-invoices: 📍 Even if your mandatory implementation date is 1 July 2025, you can already use the portal to reject e-invoices if necessary.
5. Benefits of early registration: Early access allows you to: 📍 Understand the system better 📍 Prepare your internal processes 📍 Manage e-invoices from suppliers who have already implemented the system
6. Steps to take: 📍 Register for the MyInvois Portal as soon as possible 📍 Familiarise yourself with its features and functions 📍 Start monitoring any e-invoices you receive through the system
7. Continued use of current systems: 📍 While you’re encouraged to use the MyInvois Portal, you can continue using your current invoice management systems until your mandatory implementation date.
Given this information, I recommend registering for the MyInvois Portal now, even though your mandatory implementation date is 1 July 2025. This will allow you to access and manage any e-invoices issued by suppliers who have already implemented the system and give you ample time to understand and integrate the e-invoicing process into your operations.
Regarding accessing and printing e-invoices:
Accessing e-invoices:
For e-invoices created via MyInvois Portal:
After logging in, buyers can view and print these e-invoices directly from the MyInvois Portal.
For e-invoices created via API:
Currently, buyers cannot print or access these e-invoices through the MyInvois Portal.
This is an important limitation to be aware of.
2. Obtaining e-invoices created via API:
If your supplier issues e-invoices via API and fails to share them with you:
You should request a copy of the e-invoice directly from the supplier.
Suppliers are obligated to share the validated e-invoice or a visual representation of it with buyers.
3. Best practices:
Communicate with your suppliers about their e-invoicing method (Portal or API).
Suppliers using API should establish a clear process for receiving e-invoices.
Consider keeping a record of which suppliers use which method to streamline your invoice management.
4. Future developments:
Stay informed about any updates to the MyInvois system, as IRBM may enhance functionality in the future to allow access to API-generated e-invoices through the portal.
This distinction between Portal-generated and API-generated e-invoices is crucial for managing your invoicing processes effectively.
While the MyInvois Portal provides easy access to Portal-generated e-invoices, you’ll need to work directly with suppliers for those using the API method until any system updates are implemented.
